Banks often name the same payer or store several ways. A payee rule says "when the bank's description contains these words, this is that payee", so those transactions all land under one payee. A rule never moves money; it only changes which payee a transaction is filed under.
Say the Riveras' paycheck arrives as "ACH Deposit Rehmann, LLC–OSV–PAYROLL" one week and a slightly different text the next. A rule reading Bank text contains Rehmann, limited to Money in, files every one of them under Rehmann.
Where your rules are
Open the payee from Payees. The Rules card near the top lists every rule that files transactions under it, each as what it matches, such as Bank text contains Rehmann. Under each one you see its limits and what it has filed so far, such as "Money in · 5 deposits · $12,000.00". The badge says whether it is Active or Paused. A Review row is a rule Forward suggests from transactions that look alike. It does nothing until you review and save it.
If you choose a payee for a transaction yourself, no rule changes it.
Adding a rule
Tap + Add rule on the Rules card. Type the words to match, pick the payee to file under, and add limits such as Money in or one account if you need them. Forward lists every transaction the rule would file. Leave out any that don't belong, then tap Save rule. The ones listed move to the payee, and new ones that match are filed as they arrive.
A rule's sheet
Tap a rule on the Rules card to open its sheet. It shows what the rule matches, its limits, the payee it files under and who made it, then:
- See the deposits (or payments) opens Transactions for that payee.
- Edit rule changes the words or limits. Forward shows what would move before you save, including any it would put back.
- Undo puts back the transactions the rule moved when it was saved or edited, under the payees they had before. It leaves alone any that someone changed since, and the rule is paused. Transactions the rule filed as they arrived stay where they are.
- Pause rule stops the rule filing anything new. What it filed stays. Resume rule turns it back on.
- Delete rule ends the rule. What it filed stays under the payee. To put them back instead, use Undo.
- History lists every change to the rule, who made it and when.
Viewers can see rules and their history but can't add or change them.
Rename or merge
At the bottom of a payee's page, Rename or merge offers two choices:
- Rename changes the payee's name. Each transaction keeps its bank description.
- Merge into another payee moves everything under this payee to another one, once, and removes this payee. It can't be undone. Before you confirm, Forward counts what moves: transactions, Plans, income sources and rules. After a merge, only new transactions named exactly like the removed payee go to the other one.
If you want new transactions to keep landing on the other payee, a rule does that and can be undone. Tap Add a rule instead, or Make a rule instead on the merge confirm.
What to do
If you made a rule and can't tell whether it worked:
- Open Payees and tap the payee the rule files under.
- Find the rule on the Rules card. It shows how many transactions it has filed and their total.
- Tap it, then See the deposits (or payments) to check them in Transactions.
- If it filed the wrong ones, tap Undo on the same sheet, or Edit rule to narrow it.
